Customizing your welcome email for your learners is a simple way to have a high impact on your learners during your launch.
When learners are registered for the 4 Seasons of Reconciliation resources hosted on Reconciliation Education's LMS (learning management system, aka course portal), they automatically receive a welcome email from the system with instructions to sign in.
New in 2024, clients who have an active subscription to the 4 Seasons of Reconciliation resources hosted through Reconciliation Education's LMS can now customize the welcome email message that their learners receive. Your organization can customize this template email for your learners, and include information specific to them.
What can we customize?
Your organization can include a custom, short introductory message about the course and your organization's reconciliation goals, and you can even include your logo.
We recommend including any information specific to your learners: deadlines, expectations, processes, EFAP and support links, end steps, or future in-person training dates are all good items to include in your welcome email.
We caution against making the email more than about 1 page long, as this tends to be more than the average learner will read in an email.
What can't we customize?
Most of the content of the welcome email can be customized to your organization, except for some critical system text. This text includes the learner sign in instructions and some other key pieces of information learners need to successfully access the course. In the welcome email template, this text is dark grey and bold so it can easily be identified.
Points to consider when customizing the welcome email:
- Do you have specific requirements or expectations for your learners?
- This is a great place to call out any expectations for your learners. Do you expect them to complete the course during work time, or on their own time?
- Do your learners need to submit their certificates directly to a team member/inbox in your organization?
- If your goal is to showcase your certificates or your administration needs to log them for crediting purposes, letting learners know exactly what they need to do with their certificates before they start learning is a best practice.
- Do you have a project leader or person learners should contact if they have a problem?
- If you have an internal network of people working on this course launch project, it may be wise to include an email address for learners to contact with course access problems or general program questions.
- Do you have an internal deadline for when training needs to be completed?
- This is a critical piece of information your learners should know before they begin the course. If you have internal deadlines or completion expectations, ensure you explain them clearly in your welcome email for the best chance of success.
- Do you have EFAP or support services internally you would like to remind learners about?
- Learners may need support services during the course. If you have EFAP or Employee Services available, we recommend including instructions for your learners on how to access these services in the welcome email.
