Being transition ready: how to prep to move your learners & your course

Most of the heavy lifting will be done by the RecEd team. However, there are some things you should do to prepare for a gold-star transition and re-launch for your learners.

The transition to the new course portal is a huge step toward a better learner (and client) experience.

To get the most out of your transition, these are our best practice recommendations to achieve a gold-star relaunch in the new portal.

First, we recommend treating this transition as a re-launch - use this time to communicate to your learners again, and reiterate the importance of the program to your organization.

Leaning in to the momentum of learners getting an exciting new portal is a perfect opportunity to drive course completion and maximize your license.

We are going to break down our best practice recommendations into 3 categories. Each category has 4 simple steps for success.

  1. Course prep
  2. Learner prep
  3. Admin prep

Course Prep

As part of the transition, your course will be upgraded to the current 2023-24 edition. This edition includes a visual redesign, some new & updated content, but still includes the familiar core content you know and are familiar with.

Each client's course will need to be rebuilt from scratch in a new build program by the RecEd team. During your organization's transition, you can use the build team's time to update some of your custom assets.

Here's what you can update to prepare your course for the transition:

  1. Your logo. If you have a new logo or additional logos, please share them with us! Upload your new logo here. If you don't have a new logo, our team will use the one previously approved for your course.
  2. Land Acknowledgment. You may have updated your land acknowledgment, added a new location, or have created new land acknowledgment guide resources. If any of this applies to you, share it with the RecEd team and we will update and/or redesign your Land Acknowledgment lesson to suit. Upload your new land acknowledgment here.
    If you don't have a new land acknowledgment or land acknowledgment assets, our team will use the ones previously approved for your course.
  3. Words of welcome. Some organizations choose to include a welcome message of some type in their courses, or a reconciliation statement. If these assets require an update or you have new design elements you would like incorporated (such as photos from reconciliation events or learner testimonials), please share them with your RecEd team member for incorporation.
  4. Consider continuing learning. Capitalize on the relaunch of your course - this is the time you have the most learner attention. If you've been considering purchasing additional learning products, consider launching that in tandem to (or in close time to) your main 4 Seasons of Reconciliation transition course. Learner Prep

Learner participation is critical to your transition. Communicating internally with your learners, in addition to the communications they will receive from us, will ensure that your learners know what's happening and are prepared for the transition.

In addition to preparing the learners, we also need to prepare their accounts. A list of learners will be drawn from your existing course. All existing learners will be brought to the new platform.

However, you may want to make some changes to your learner list, or change how your groups are broken up.

  1. Prepare new lists of learners. It's very likely that you'll have new learners to register. You can use our template to prepare a list of new learners, and then share it with the RecEd team. Your new learners will not be registered until your course is fully prepared, and may need to wait for course access.
  2. Prepare list of groups. You may want to break your new learners into groups moving forward for reporting reasons. You may also want to break into groups your existing learners. If either of these is the case, please contact your RecEd team member for setup instructions, as this process varies by organization.
  3. Choose your Power User. Every organization's course includes a minimum of 1 Power User seat. Your Power User is your course administrator and the person who is in charge of drawing course data. Learn more here about choosing a Power User.
  4. Communicate with your learners. Let your learners know that there will be a transition. Use this announcement to remind learners what the course is by using some of our description text, and reiterate any internal expectations. This is a chance to relaunch the course - use it to maximize your returns.

Admin Prep

Believe it or not, this is the fun part! To prepare yourself for the new portal, we think the best way to do it is to jump right in and experience it.

  1. Request your express pass to try out the new portal. Our team will register you for a free eLearning! You'll receive a welcome email from our new system and experience the login and signup process as a learner will.
  2. Take the free eLearning. See how your learners will experience courses in the new platform, and get a sneak peek of our new modern course designs.
  3. Download the app. Did you know your learners can now access the course cross-platform through an app? We recommend downloading the app and taking a look around before your learners arrive. Learn more about that here.
  4. Practice reporting. When we register you for your free eLearning, our team will also set you up as a Power User with a sample course and learners. This sample course is an internal training taken by our team, and you can practice using reporting features and creating reports using this cohort of RecEd team members and this sample course. (Don't worry, you don't need to take or complete the sample course!)
